1. A backup is created when email in an IMAP account is deleted from the trash folder.
2. Backups for the deleted email can be restored up to 14 days (IMAP only).
3. If an account is deleted, it can be restored with all contents up to 30 days.

POP accounts download email from the server to archive on the computer.

Time Machine is the built-in backup for macOS. Acronis may be used for Windows. It can be complex to recover email from a backup and may require a consultant.
