Modify OS X 10.5 - 10.9 Mail

The purpose of this page is to describe how an existing email account may be modified to work with OlympusNet email servers. The steps that follow include all fields, and how they are likely to be set, in case you are trying to troubleshoot the settings you have. If nothing is broken, don’t make any changes. If your password has been updated, the document will show where to enter the new password.

While updating email settings, OS X may pop up a window about an Identity error if you’re using mail.olympus.net for server names. You’ll need to accept the Identity certificate, which is described in Trust Certificate OS X, entering the Macintosh account password (not the email account password) to finalize the certificate trust. If you do not have the password or if the certificate trust fails, step 3 and step 7 describe how to change the server names. Generally, up to date computers will not require this change. Don’t change the server names from mail.olympus.net or mail.example.com unless it is necessary.

  1. Open the Mail application and click on the word Mail to the right of the Apple in the upper left corner of the screen. Then select Preferences.

  2. Click The Accounts tab, if it is not already selected from the icons.
  3. Change the server name as shown in this step only if the certificate trust fails. To modify/edit an existing account, click the account in the Accounts list to highlight it, then modify your email settings on the Account Information tab to the right. Follow the text below for the appropriate settings for your account entered in the fields marked by red rectangles in the screenshot below.
    1. For olympus.net email (janedoe@olympus.net):
      1. If you or your ISP have changed your password, type the new password in the password file.
      2. Both mail.userservices.net and mail.olympus.net are correct mail server names. Don’t change what you have in the Incoming Mail Server field unless you have a certificate trust failure.
      3. Be sure your full email address is entered into both email and User Name fields.
    2. For email in your own domain (sally@example.com): 1. Be sure your full domain email address in the Email address field, and in the User Name field (sally@example.com). 2. Only if the certificate trust has failed, enter mailc11.megamailservers.com in the Incoming Mail Server field; otherwise leave it on mail.example.com.

  4. After updating any settings on the Account Information button as shown above, click the General Icon to get the Save Changes prompt and click Save.

    3. Click on the Accounts tab to resume settings updates.

  5. To modify your Outgoing Mail Server settings, click the Outgoing Mail Server (SMTP) dropdown menu at the bottom right (shown in the screenshot for step 3 above). Select Edit SMTP Server List from the popup.

  6. In the white box at the top half of the dialog box, click on the account to be edited below Server Name to highlight it. (Screenshot below.)
  7. Change the server name as shown in this step only if the certificate trust fails. On the Account Information tab, enter the appropriate information for your account following the text guidance below in the fields marked in red in the screenshot:
    1. For olympus.net email (janedoe@olympus.net):
      • janedoe out for Description (suggested)
      • Either mail.olympus.net or mail.userservices.net will be entered in the Server Name field.
    2. For email in your own domain (sally@example.com):
      • sally@example.com out for Description
      • Enter mailc11.megamailservers.com in the Server Name field, if the certificate trust failed. Otherwise mail.example.com is also correct.
      • Do not click OK yet.

  8. Now click the Advanced tab to the right of Account Information. (Screenshot below.) Enter the appropriate information for your account following the text guidance below in the fields marked in red in the screenshot:
    • Select Use default ports.
    • Check the checkbox Use Secure Sockets Layer (SSL).
    • Select Password for Authentication (click on the field to get options.)
    • For olympus.net email, enter your full email address (janedoe@olympus.net) and the password for it.
    • For email in your own domain, enter your full email address (sally@example.com) and the password for it.

  9. Click OK when finished.
  10. Go back to Account Information after clicking OK to close the outgoing server settings to be sure you see the Description name you gave the account (janedoe out or sally@example.com out) in the field beside Outgoing Mail Server (SMTP) at the bottom of the dialog box matching the account you have highlighted in the left margin. If it says None, click on the word None and select instead the description name you gave the server (janedoe out or sally@example.com out).

    The following two screenshots show how the settings for two different accounts should appear. Important: with the account highlighted in the margin on the left, you should see the matching name in the field for Outgoing Mail Server (SMTP).

  11. Click Save any time you are prompted with a Save Changes popup.

  12. Sometimes after a change, the account goes offline. After closing the Mail Preferences, click on the Mailbox Menu and make sure Take All Accounts Online is grayed out, or just click it to be sure. Find the Mailbox menu on the toolbar along the horizon from the Apple.
